Video Footage Review and Access Guidelines

To ensure all requests to review ministry video footage are handled consistently, discreetly, and with integrity while protecting the safety, privacy, and dignity of children, students, volunteers, and staff.

When This Applies

This protocol applies when a parent/guardian or another party requests review of video footage related to an alleged incident in a ministry area.

Procedure

  1. Notify the Campus Pastor, Executive Pastor of Ministries, Director of Operations, and the appropriate Central Ministry Director immediately.
  2. The Campus Pastor and appropriate ministry leadership must review the footage in advance before any meeting with a parent/guardian.
  3. Only the specific portion related to the alleged incident should be isolated.
  4. Save the isolated clip to secure storage or archive it within the video management system. Label the file with the child’s first and last name and the date of the incident.

Restrictions

Video footage is confidential security material and will not be shared, copied, emailed, or viewed by parents, guardians, volunteers, or other outside parties. Footage may only be reviewed by authorized Crosspoint leadership for the purpose of evaluating an incident or concern.

Law Enforcement Requests

All law enforcement requests must be directed to the Director of Operations. Any release of video footage will occur only after review and consultation with legal counsel.
