Technology Purchasing – What You Need to Know
Technology purchases at Crosspoint are handled with intentionality to ensure alignment, stewardship, and long-term support. This process protects both your ministry and the organization as a whole.
Where All Requests Begin
All technology purchase requests start with your Campus Pastor.
This step ensures:
- Budget availability
- Ministry alignment
- Prioritization across campus needs
Once approved at the campus level, requests move to the IT Team for evaluation and next steps.
What Falls Under Technology Purchases
This process applies to all technology-related items, including:
- Computers (laptops and desktops)
- Monitors and accessories (like scanners, usb devices, etc.)
- Printers and copiers
- Software and subscriptions
- Ministry-specific tech equipment
If it connects to our network, stores data, or requires ongoing support—it goes through this process.
Approval Process
- Submit request to Campus Pastor
- Include clear details on what is needed and why.
- Campus Pastor reviews and approves budget
- Requests without budget alignment will not move forward.
- IT Team evaluation
- IT will:
- Confirm compatibility with existing systems
- Ensure security standards are met
- Recommend approved or standard options
- Coordinate purchasing and setup
- Procurement and deployment
- IT will handle ordering, configuration, and distribution.
Standard Equipment
Crosspoint utilizes standardized equipment and software whenever possible.
Why this matters:
- Easier support and troubleshooting
- Consistent user experience across campuses
- Better pricing through established vendors
- Improved security and system integration
If a request falls outside of standard equipment, IT will review and advise on alternatives or approve exceptions when appropriate.
Avoiding One-Off Purchases
Individually sourced or “one-off” purchases create long-term challenges, including:
- Lack of IT support
- Security risks
- Compatibility issues
- Increased costs over time
For this reason:
- Do not independently purchase technology items
- Do not sign up for paid software without approval
- Always route requests through the established process
Final Thought
This process is not about slowing things down—it’s about ensuring that what we implement is sustainable, secure, and aligned with the broader mission of Crosspoint.
If unsure whether something qualifies as a technology purchase, it’s always best to ask before moving forward.
