Software Approval Process – What You Need to Know
To protect Crosspoint’s data, systems, and financial stewardship, all software must be reviewed and approved before use—especially before any purchase is made.
Do Not Sign Up for Random Tools
Avoid creating accounts or using new software platforms without prior approval. Even free tools can introduce security risks, data exposure, or compliance concerns.
Approval Is Required Before Purchase
No paid software, subscriptions, or renewals should be initiated without approval. This includes:
- Monthly or annual subscriptions
- One-time software purchases
- “Free trials” that require a credit card
Why This Matters
- Protects sensitive church and member data
- Ensures compatibility with existing systems
- Prevents duplicate tools and unnecessary costs
- Maintains proper vendor and contract oversight
What to Do Instead
Before using or purchasing any software:
- Submit a request to the IT Team
- Include the purpose, cost, and intended use
- Wait for review and approval before proceeding
Oversight
The IT Team, under the direction of the Director of Operations, reviews all software to ensure it meets security, operational, and financial standards.
When in doubt, pause and ask. It’s always easier to approve upfront than to resolve issues after the fact.
