Confidentiality Expectations of Email Crosspoint Church
Email is an official communication tool of Crosspoint Church and must be treated with the same level of confidentiality and care as any internal document, conversation, or record. Every employee is responsible for protecting the information entrusted to them.
Core Expectations
Assume all email is sensitive.
- Any communication sent through a Crosspoint email account may contain confidential, financial, pastoral, personnel, or operational information. This must be handled accordingly.
Do not share sensitive information externally.
- Church data—including member information, giving records, internal decisions, staff matters, or strategic discussions must not be forwarded outside the organization unless explicitly authorized.
Limit internal distribution.
- Only include individuals who have a legitimate need to know. Avoid unnecessary forwarding, copying, or replying-all on sensitive matters.
Protect member and donor information.
- Personal contact details, giving history, counseling-related communication, or any identifying information must remain strictly confidential. When in doubt, do not send it via email.
Use caution with attachments and links.
- Ensure documents containing confidential information are shared securely and only with the appropriate recipients.
Maintain professionalism and discretion.
- Email communication reflects the integrity of Crosspoint Church. Conversations should remain appropriate, respectful, and aligned with our values.

- If you believe confidential information has been shared improperly or accessed by an unauthorized party, notify the IT Department or Director of Operations immediately.
Accountability
Failure to uphold email confidentiality standards may result in disciplinary action, up to and including termination. Protecting the privacy of our members, staff, and organization is a shared responsibility and a critical part of maintaining trust and stewardship.
